VAT Deduction in the Regime Semplificato: How Freelancers in Italy Can Save

If you’re a freelancer in Italy, understanding how VAT deductions in the regime semplificato work can help you save significantly on taxes. Unlike the regime forfettario, this system allows you to recover VAT on eligible business expenses. Here’s what you need to know, explained clearly for expats and solo professionals.

How VAT Deduction Works in the Regime Semplificato

In the regime semplificato, you’re required to charge VAT (IVA) on your client invoices typically at a standard rate of 22% (though this depends on client location and your sector). At the same time, you also pay VAT on business-related purchases like:

  • Software subscriptions
  • Accountant fees
  • Office or coworking rent
  • Training and courses

With VAT deduction, you subtract the VAT you pay on business expenses from the VAT you collect from clients. You only pay the difference to the tax office.

Example:

  • You invoice €10,000 + 22% VAT = €2,200 collected
  • You pay €800 in VAT on business purchases
  • You deduct €800 from €2,200 → You owe the tax office €1,400

Without the deduction, you’d have to pay the full €2,200. That’s a big difference!

Which Business Expenses Are VAT-Deductible?

VAT is deductible only when the expense is clearly related to your business and the invoice is correctly issued to your Partita IVA. Make sure it includes:

  • Your Partita IVA
  • A clear description of the service or product

Common deductible expenses include:

  • Professional software and tools
  • Coworking space or office rent
  • Mobile phone plans used for work
  • Marketing or advertising services

What VAT Isn’t Deductible?

Some expenses come with non- or partially-deductible VAT, depending on how they relate to your business. These typically include:

  • Meals and entertainment
  • Travel expenses
  • Certain vehicle costs (depends on usage and profession)

Always consult your accountant to verify if VAT is fully or partially deductible. This can vary by sector and business type.

Regime Semplificato vs Regime Forfettario: Key Differences

In the regime forfettario, you don’t charge VAT and cannot deduct it either. So even if you pay VAT on your business expenses, you can’t recover it.

That’s why regime semplificato may be more convenient if you have significant expenses where VAT adds up.

Tips for Managing VAT in the Regime Semplificato

  • Track your VAT-deductible expenses carefully
  • Ensure invoices meet legal requirements
  • Submit quarterly VAT returns on time
  • Work with a qualified accountant

Keeping everything organized helps you make the most of your VAT deduction regime semplificato and avoid surprises at tax time.
